Family Reunion Trip Checklist for 2026 Group Travel

By Dana Whitaker, Kindred Trails. We plan family reunions for groups of 10 to 40 travelers, and we see the same pattern each year. You need a clear headcount early, a date window that survives school calendars, and a budget range that every household can accept.

In 2026 we are booking reunion houses at 280 to 520 dollars per night and hotel blocks at 129 to 219 dollars per night. You will make faster decisions when deposits, meal duties and arrival times are written down. We use the checklist below for every reunion we manage.

Lock the headcount and date window

You cannot hold lodging or price group activities until you know how many beds you need. We ask each household to confirm adults, children and arrival dates by a single deadline. You should plan for two or three households to shift dates before final payment.

  • Collect confirmed adults, children under 12 and infants in one shared sheet.
  • Set a date window of 4 to 7 days with two backup weekends.
  • Record school breaks, work blackout dates and medical needs.
  • Close the headcount 120 days before travel for houses and 90 days for hotels.
  • Assign one contact per household for payments and updates.

We hold a 15 minute call once the sheet is complete and we read the numbers back. You will avoid most disagreements when the count and the date are frozen in writing. We then move to lodging with real numbers instead of estimates.

Set the shared budget and payment rules

Money causes more friction than logistics, so we put every shared cost in one table. You should separate lodging, food, activities and a small contingency fund. We recommend a contingency of 8 to 10 percent for price changes in 2026.

  • List nightly lodging cost, cleaning fees of 150 to 350 dollars and local taxes.
  • Set a per adult and per child share for groceries and group meals.
  • Collect a nonrefundable deposit of 100 to 200 dollars per household.
  • Schedule the balance 60 days before arrival with one reminder at 75 days.
  • Name who pays the driver, the cleaner and the activity deposits.

We track payments in the same sheet as the headcount so balances stay visible. You will collect faster when each household sees the same due dates. We send one reminder and one final notice, then release unpaid beds.

Choose lodging that fits the group shape

A single large house works well for 12 to 20 people who eat together daily. You may prefer three nearby houses or a hotel block when the group passes 25 people. We compare bedroom count, bathroom count and quiet hours before we compare price.

  • Require one bathroom per 4 to 5 guests for morning comfort.
  • Confirm ground floor bedrooms for grandparents and infants.
  • Check pool fences, stair gates and crib availability for toddlers.
  • Verify parking for 4 to 8 cars and check in windows after 4 pm.
  • Get noise rules, visitor limits and grill access in writing.

We request a floor plan and a written sleeping list before we sign. You will sleep better when teenagers, infants and early risers are placed with care. We keep one spare air mattress and one spare pack and play on the list.

Plan meals without daily stress

Groups eat well when cooking shifts are assigned before arrival. You should plan three group dinners and leave the other nights open for small teams. We budget 18 to 32 dollars per adult per day for shared groceries in 2026.

  • Assign two households per dinner for cooking and cleanup.
  • Collect allergies, vegetarian needs and infant feeding notes early.
  • Order one bulk grocery delivery for day one staples.
  • Reserve one restaurant night for 15 to 30 guests 45 days ahead.
  • Pack a labeled bin for snacks, formula and medicines.

We print the meal roster on one page and tape it inside a cabinet. You will spend less time negotiating when the plan is visible. We keep breakfast simple with cereal, eggs, fruit and coffee.

Schedule activities and free time

Reunions work when one activity per day is shared and the rest is open. You should survey energy levels before you book boats, parks or tours. We book private guides at 350 to 600 dollars per half day for groups near Austin and lakes.

  • Pick one anchor activity per day with a clear start time.
  • Offer a low effort option such as a pool hour or a walk.
  • Book tickets needing dates 30 to 60 days ahead in summer 2026.
  • Confirm car seats, life vests and shade for children and seniors.
  • Leave one full morning unscheduled for rest and packing.

We close planning with a pre trip call 14 days before departure. You will arrive calmer when every driver, cook and contact knows the plan. We stay available during the trip for changes to timing or counts.
